Did you know that 59% of employees wish to be more informed about their benefits? But more often than not, employees find themselves in the dark during open enrollment (OE), facing confusing documents and uncertainty around one of the most important health and financial-related choices they make all year.
As a benefits broker or consultant, you understand the value of clear communication during this critical period. We have developed a best-practice OE communication timeline designed to help your employer groups inform and empower their employees. At the end of this blog post, you will find a ready-to-use checklist to download that will assist your employer groups in effectively communicating during the Open Enrollment period and beyond.
Open Enrollment Checklist Communication Timeline
6 Weeks Before Early Enrollment Send an initial announcement informing employers of the upcoming open enrollment period, highlighting the key dates and deadlines. This early notice gives them time to prepare, communicate the message, and anticipate changes.
4 Weeks Before Open Enrollment Follow up with detailed communication, including the benefit options and plan option changes, so employees know what to expect during enrollment.
Official Open Enrollment Launch Kick off the OE period with a detailed communication package. Include all the information your clients need to know to help their employees make informed decisions—plan options, deadlines, enrollment instructions, and any other useful resources.
1 – 2 Weeks Before the OE Deadline Be sure to send out multiple reminders before the end of open enrollment. Most companies are usually busy at this time of the year, and it’s easy for some tasks, particularly those related to employees’ wellbeing, to fall through the cracks.
1 Week After Enrollment Period After the enrollment period closes, you can send an acknowledgment note to your clients for choosing you as their broker. Provide information on what they can expect next and assurance of exceptional support services throughout the year.
Empower your clients for open enrollment success as they step into the new year. Looking for a tangible resource to share with your groups? Download our ready-to-use 2023 OE communications timeline and checklist.
