  • Google Forms: Free, simple interface with basic analytics
  • Microsoft Forms: Free with Microsoft 365 subscriptions
  • Typeform: Free basic plan with visually appealing design

Step 2: Choose when you’ll send the survey

  • Best timing: Mid-week (Tuesday-Thursday) mornings between 9-11am
  • Duration: Keep the survey open for 7-10 business days
  • Reminders: Send 2 reminders to employees about the survey, spaced out at the beginning and towards the end of the survey window

Step 3: Communicate to employees about the survey

  • Pre-announce: Give employees a heads-up before sending
  • Purpose: Clearly explain why you're collecting feedback and how it will be used
  • Anonymity: Explicitly guarantee response anonymity to encourage honesty

Optional step: Boost response rates

  • Raffle prize: Offer incentives for participation like gift cards or company swag
  • Progress indicator: Include a completion bar so employees can track progress
  • Recognize participation: Share the overall response rate and thank participants

Step 5: Analyze your survey and follow-up

  • Assess: Using your preferred survey tool’s analytics, develop key insights and learnings
  • Share results: Communicate findings and planned actions based on feedback
  • Close the loop: Follow up to show how feedback influenced decisions
