Tax deadlines can sneak up on you, but staying organized now can save you from stress later. Be sure to mark your calendar and set reminders for key deadlines! For most businesses, W-2s must be sent to employees and filed with the IRS by January 31 and 1099-NEC forms for independent contractors are due the same day.

Staying ahead of these dates prevents penalties and gives you peace of mind.

1.  Double-check employee information: Accuracy is key. 

Verify that your records match:

  • Names and TINs: Ensure the spelling and numbers align with official documents.
  • Addresses: Update them for timely delivery.

2. Use the right forms: Not all tax forms are created equal. 

Ensure you’re using the correct ones for your needs:

  • W-2 for employees.
  • 1099-NEC for contractors.
  • W-2c if corrections are needed.

3. Keep backup copies: Always save copies of your submitted forms—both physical and digital. 

This includes:

  • Forms sent to recipients.
  • IRS confirmations or mail tracking receipts.
